Terms and Conditions
Effective Date: February 20, 2026
These Terms and Conditions form a binding agreement between the parent or legal guardian (“you”) and Metropolitan Preparatory Academy (“Metro Prep”). By submitting a registration for any Metro Prep camp or workshop, you acknowledge and agree to all policies and responsibilities outlined below.
1. Registration and Eligibility
Programs are open to students who meet the stated age or grade requirements for each session. Metro Prep reserves the right to verify a participant’s eligibility and may cancel or modify enrolment at its sole discretion; proof of age may be required. Registration is not confirmed until full payment has been received and processed.
2. Fees, Cancellations, Transfers, and Pickup Policy
All program fees are listed in Canadian dollars and must be paid in full at the time of registration.
Summer Camp Cancellations: Cancellations submitted in writing on or before May 31, 2026 are eligible for a refund (less a $50 administrative fee per session). No refunds will be issued for cancellations received on or after June 1, 2026 (except in the case of a documented medical reason that prevents participation).
GENIUS Workshop Cancellations: Cancellations submitted in writing at least 14 days prior to the scheduled workshop date are eligible for a refund (less a $50 administrative fee). Cancellations received within 14 days of the workshop are non-refundable (except in the case of a documented medical reason).
Medical Refunds: For summer camps, refunds for medical cancellations will only be considered if the participant misses three or more consecutive days. For GENIUS Workshops, a medical note covering the specific date of the missed session is required. Metro Prep may request additional documentation to support a medical refund request. Approved refunds will be returned to the original method of payment (less any applicable non-refundable fees).
Refunds will not be provided for absences, late arrivals, early departures, missed days due to illness or weather, or failure to comply with program policies.
Transfer requests must be submitted at least 14 days prior to the scheduled start date; these are subject to availability and a $25 administrative fee. Requests received within 14 days may not be accommodated.
Dismissal and Pick-Up: Participants must be picked up promptly at the end of their scheduled session. Late pickups are subject to a fee of $25 per 15-minute increment beyond the scheduled end time. For students ages 12 and older attending GENIUS Workshops, parents may provide written authorization during registration allowing the student to sign themselves out and leave campus independently at the end of the session.
Off-Campus Privileges: Participants in the GENIUS Workshops are not permitted to leave the Metropolitan Preparatory Academy campus during breaks or lunch periods unless explicit, written consent has been provided by a parent or legal guardian prior to the start of the session. Without this written authorization, students must remain on school grounds for the duration of the program.
If Metro Prep cancels a session due to low enrolment, staffing limitations, public health directives, or other operational factors, you will receive a full refund for the cancelled session or the option to transfer into another available session. Metro Prep is not responsible for incidental costs incurred due to a cancellation.
3. Laboratory Safety and Dress Code
The safety of our students is our highest priority. All programs involve hands-on activities in active science laboratories. Participants must adhere to standard laboratory safety protocols, which include a dress code. Metro Prep provides lab coats for all students to wear during practical activities. Specific dress code requirements will be communicated directly to registered families closer to the start date of the program. Students who arrive without appropriate laboratory attire will not be permitted to participate in practical experiments for safety reasons, and no refunds will be issued for missed lab time.
4. Medical, Emergency Care, and Allergies
You confirm that your child is physically and emotionally able to participate in all scheduled activities (unless otherwise disclosed during registration). All relevant medical information, including allergies, medications, and care needs, must be provided in full at the time of registration. Participants with conditions such as anaphylaxis, asthma, epilepsy, diabetes, or other health concerns requiring individualized support must submit a completed Care Plan in advance. Failure to provide required documentation may result in the participant being unable to attend.
Nut-Free Environment: To protect participants with severe allergies, all Metro Prep programs strictly enforce a nut-free environment. Any snacks or lunches brought to campus must be entirely free of peanuts and tree nuts. The school reserves the right to confiscate food items that pose an allergy risk to other students.
Metro Prep staff are trained in basic first aid and CPR. In the case of injury, illness, or emergency, staff may administer care and seek medical attention or transportation to an appropriate healthcare facility if necessary. By registering, you authorize Metro Prep to obtain emergency care on your behalf and agree to cover any related costs not covered by provincial or private insurance. Parents or guardians must pick up an ill or injured participant within one hour of being contacted.
5. Behaviour, Technology Use, and Dismissal
Metro Prep is committed to maintaining a respectful, inclusive, and safe environment. All participants are expected to follow staff instructions, comply with safety guidelines, and treat peers and staff with courtesy and respect.
Mobile phones and personal devices are permitted on campus; however, their use is strictly limited during instructional time. Instructors may allow devices to be used specifically for documenting lab results or taking notes, but devices must otherwise remain stowed to prevent distractions and safety hazards in the laboratory.
Behaviour that is unsafe, disruptive, discriminatory, or otherwise interferes with the learning or enjoyment of others may result in immediate dismissal from the program. Dismissal decisions are final and made at the sole discretion of Metro Prep. No refund will be issued in cases of dismissal for behavioural reasons or failure to follow program rules. Metro Prep further reserves the right to decline future registration for any participant whose behaviour (or whose parent or guardian’s conduct toward staff) is deemed inappropriate, disruptive, or threatening.
6. Media and Photography Consent
By registering, you grant Metro Prep permission to photograph, film, or record your child during program activities for use in communications with families, promotional materials, print publications, and digital marketing. No compensation will be provided for such use. If you do not wish your child to appear in any media, you must notify Metro Prep in writing at camps@metroprep.com prior to the start of the program.
7. Limitation of Liability
Participation in Metro Prep programs may include physical activity, group collaboration, or specialized sessions involving laboratory or outdoor components. While all reasonable precautions are taken to ensure safety, you acknowledge the inherent risks associated with such activities. By registering, you voluntarily assume these risks and agree to release, indemnify, and hold harmless Metro Prep, its employees, contractors, and affiliates from any and all claims related to injury, illness, or property loss (except where liability is proven to result from gross negligence or wilful misconduct).
Metro Prep is not liable for lost, stolen, or damaged personal belongings. Participants are advised to leave valuables at home and clearly label personal items.
8. Privacy and Information Security
Metro Prep collects personal information solely for purposes related to registration, communication, health and safety, and program operations. We comply with applicable privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA). All data is stored securely and accessed only by authorized personnel. Personal information will not be disclosed to third parties except where required by law or for direct support of your child’s well-being.
9. Accessibility and Accommodations
Metro Prep is committed to providing an inclusive educational environment. If your student requires specific accessibility accommodations to fully participate in laboratory or classroom activities, please contact us at camps@metroprep.com at the time of registration. We will work with your family to implement reasonable accommodations that maintain the safety and integrity of the science program.
10. Acknowledgement and Modifications
By completing registration, you confirm that all information provided is accurate, that you are authorized to register the student named, and that you agree to all terms set out in this document. Metro Prep reserves the right to update or amend these policies in response to public health guidance, legal changes, or operational requirements. Participants will be notified of any material changes.
